Acceptance of the terms of this Privacy Policy means your consent to the collection and processing of personal data for the purpose of recruiting and selecting individuals by PRF – Gas Solutions, SA, Tax Identification No. 504 463 667, with registered office at Estrada Nacional 356/1, Km 5.8, Alcogulhe, 2400-821 Azoia – Leiria, União das Freguesias de Parceiros e Azoia, municipality of Leiria, hereinafter referred to simply as PRF.

We therefore recommend that you read this Privacy Policy carefully.

The candidate’s consent is a necessary requirement for inclusion in current and/or future recruitment processes and, if you do not accept it, it will not be possible to consider your application. You should therefore read this Privacy Policy carefully before providing your personal data to PRF.

If you do not agree with this Privacy Policy, please do not provide your personal data to PRF.

This Recruitment and Selection Privacy Policy applies to information collected through the following channels:

  • PRF institutional website;
  • Job advertisements or spontaneous applications;
  • Social media;
  • In person, by SMS, e-mail, letter or any other means of communication.

When using the resources available on the PRF institutional website or on social media, we may collect cookies and use other tracking technologies in order to provide our candidates with a personalised online experience, send you information about careers and opportunities at PRF, and analyse the effectiveness of our recruitment efforts and resources. In recruitment and selection processes, PRF will request data such as academic qualifications and professional experience or other information relevant to open opportunities and may, in certain situations and where required by applicable law, need additional data, such as information relating to possible criminal convictions or offences.

 

Purpose of Collection, Processing and Data Recipients

This Privacy Policy applies to the personal data provided when you submit your application and to the subsequent information you provide in this context, as well as to any information lawfully obtained, for example through third parties indicated by you, such as former employers or other references. PRF will process this personal data during the recruitment process.

Purpose: Registration and retention in PRF’s databases of applications to available job offers, as well as the assessment and identification of candidates whose profile is suitable for the vacancies available. Preliminary calculation of remuneration, bonuses and benefits of candidates admitted to the recruitment process. The data will be used solely for these purposes.

For PRF to process the personal information of candidates for job opportunities, your consent is required.

By freely and voluntarily sending your personal data and CV (Curriculum Vitae), you agree to the collection and processing of your personal data by PRF for the purpose of communication and participation in recruitment and selection processes. Prior reading of this Recruitment and Selection Privacy Policy complements this information.

Personal Data Collected

During the recruitment and selection process, PRF may collect the following categories of data:

  • Personal data;
  • Data sent and/or completed in the application form, as well as data contained in the CV (Curriculum Vitae), application letters or other submitted documents;
  • Data generated and collected by recruiters and interviewers, based on interactions with the candidate in face-to-face interviews, interviews or interactions online, including, but not limited to, the interview record form;
  • Candidate identification websites, where applicable;
  • Recommendations provided to us by third parties on behalf of the data subject;
  • Data relating to criminal record information, where applicable;
  • Data generated by participation in psychological, technical or behavioural tests. If applicable, you will receive more information about their nature before they are carried out;
  • When you use our website, we may collect data through cookies (small text files that store information about your visit to our website).

The provision of personal data by the Data Subject for the purposes of the recruitment and selection process is voluntary. By submitting your data, you agree and declare that such data are true and correct and that no adverse facts have been omitted. All such data are essential in considering the selection of candidates. Therefore, providing and/or omitting inadequate information, or refusing to provide such data, may lead to the candidate being considered unsuitable for the position and may affect the outcome of the recruitment process and, consequently, the possible selection of the application submitted with a view to entering into an employment contract.

Without prejudice to the exceptions provided for by law, the processing of sensitive personal data is prohibited, namely data relating to philosophical or political beliefs, political party or trade union membership, religious faith, private life and racial or ethnic origin, as well as the processing of data concerning health and sex life, including genetic data. At no time does PRF request or encourage the collection of such sensitive data. This type of data, even if voluntarily provided by the data subject, will not be collected or processed by PRF.

Categories of Recipients

Candidates’ personal data may be shared with the following categories of internal and/or external recipients of PRF:

  • PRF employees authorised to process personal data;
  • Companies subcontracted by PRF that ensure data processing offering security guarantees and compliance with the legislation in force on personal data protection.

In addition to the entities indicated above, your personal data may be disclosed, when required by applicable legal provisions, to judicial or police authorities or to any authorities that may lawfully receive them under the law.

Retention Period

The personal data of candidates who actually fill the position for which they applied, or another job and/or service provision vacancy, will be retained for the period necessary to pursue the purposes of collection and processing, the application and recruitment process, as well as the purposes of collection and processing of the employment or service provision relationship that may in the meantime begin.

The personal data of any candidate applying to PRF, whether spontaneously or in response to an advertisement, and not selected, will be retained in PRF’s database for a period of one year in the case of spontaneous applications, or five years in the case of applications submitted in response to an advertisement.

PRF will retain candidates’ personal data whenever required to do so by legal obligation.

Personal data will be kept in the database for as long as necessary to fulfil the relationship established with the candidates.

In any case, and at any time, the data subject may object to his or her application being considered in future recruitment processes compatible with his or her professional experience.

PRF will not impose any conditions on the exercise of the rights of the personal data subject other than the need for the data subject to exercise such right in writing, so that PRF may verify that the right has been exercised by the legitimate personal data subject.

If the data subject exercises the right to object or the right to be forgotten, PRF guarantees the cessation of the respective processing and the deletion of the data (where applicable).

Once the data have been deleted, the data subject may, at any time, submit a new application again and, for that purpose, must respond again to an advertisement or submit a spontaneous application.

Rights of the Data Subject

Candidates enjoy, in accordance with the law, the rights of access, erasure, objection, portability and rectification. To exercise these rights, a written request must be sent to PRF’s registered office at Estrada Nacional 356/1, Km 5.8, Alcogulhe, 2400-821 Leiria or by e-mail to protecaodados@prf.pt.

You may withdraw this consent at any time without affecting the lawfulness of processing carried out on the basis of the consent previously given.

If you consider that the processing of your data violates the legal framework in force, you have the right to lodge a complaint with the Supervisory Authority – the National Data Protection Commission (CNPD).

Data Protection

PRF guarantees candidates privacy, confidentiality and security of their personal data and implements appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, accidental loss, alteration, disclosure or unauthorised access.

In accordance with the applicable legislation and data security standards, PRF maintains appropriate technical and organisational security measures to protect candidates’ personal data against misuse, destruction, accidental loss or unauthorised access, including, among others, servers, firewalls and antivirus systems, using appropriate systems and procedures to protect and safeguard the personal data provided, namely technical and physical security restrictions to access our servers.

Only authorised employees may access personal data in the performance of their work and for the purposes indicated herein. These measures include, but are not limited to, restricted and granular access to data (in systems and paper files) and database and backup encryption. If we use third-party services with which personal data may be shared, we contractually require them to adopt similar security measures.

Amendments

PRF reserves the right to amend or rectify this Privacy Policy at any time. The effective date of this Privacy Policy is the one shown at the end of this notice.
